This page explains how to delete your FitTrainr Inc. ("FitTrainr") account, what information we delete, what we retain (and why), and how long the process takes. We provide this page publicly — without requiring you to sign in — because we believe you should be able to start the deletion process even if you have lost access to your account, and because Apple App Store guideline 5.1.1(v) and Google Play policy §4.8 both require it.
1. Request From Inside the App (Recommended)
The simplest way to request account deletion is from inside the FitTrainr app while you are signed in. The path is the same on web and mobile:
- Open FitTrainr and sign in.
- Go to your Profile page (bottom nav or sidebar).
- Scroll down to the Privacy section and click Data deletion request.
- Follow the instructions shown: email support@fittrainr.com from the address tied to your account, stating that you would like your account and all associated data deleted.
- We will verify your identity and reply within 2 business days. Once verified, deletion is completed within 30 days.
Once deletion is processed, your account is immediately disabled — you will be signed out everywhere, your profile will no longer appear to coaches or clients, and any active subscriptions will be cancelled at the end of the current billing period (no refunds for the current period unless required by law).
2. Request by Email (No Sign-In Required)
If you cannot sign in — for example because you no longer have access to the email address on the account — you can request deletion directly by email:
Email support@fittrainr.com and include:
- The email address on your FitTrainr account.
- A clear statement that you are requesting full account deletion.
- Any other details that help us verify you are the account holder (for example, the approximate date you signed up, the device you used, or the name on the account).
We may ask follow-up questions if we cannot verify identity from the information provided. This is a privacy protection — it stops someone else from deleting your account on your behalf.
3. What We Delete
When your deletion request is processed, we delete the following information from our active production systems:
- Account record: your email, password hash, authentication identifiers, and role assignments.
- Profile: your name, profile photo, bio, timezone, preferred units, and any other profile fields you set.
- Body metrics: body weight, body fat percentage, tape measurements, heart rate readings, and other wellness metrics you logged.
- Progress photos: all photos you uploaded, including the original files in object storage and any derived thumbnails.
- Messages: 1-1 and group chat messages you sent, and the personal copy of any messages you received. (Coaches and clients you communicated with may continue to see their own copy of the conversation; we cannot delete it from their view without deleting their account too.)
- Workouts: assigned workout plans, sets / reps / rest data, and workout completion history.
- Nutrition logs: meal entries, custom foods you created, and macro / calorie history.
- Linked records: appointments, schedule entries, notes, AI conversation history, and any other records tied to your user identifier.
4. What We Retain (and Why)
A small set of records is retained after account deletion. Each is kept for a specific reason permitted (or required) by law:
- Financial records. US tax law and accounting standards require us to retain invoices, receipts, refund records, and chargeback documentation for several years. These records contain the minimum identifiers necessary to substantiate the transactions (typically your name, billing email at the time of purchase, the amount, the date, and a reference to the payment processor). They are not used for any operational purpose after deletion.
- Deidentified analytics. Aggregate event data (for example, "1,247 nutrition logs were created today") that has been stripped of identifiers or is not reasonably linkable to you may be retained indefinitely. This data is used to operate and improve the platform.
- Audit and security logs. System and security logs (sign-in attempts, administrative actions, abuse reports, security incident records) are retained for a limited period for fraud prevention, security investigation, and legal compliance purposes. We minimise the personal data in these logs and apply short retention windows wherever possible.
- Records subject to legal hold. If we have received a valid legal request — for example a subpoena, a preservation request, or a court order — that requires us to preserve specific records, those records will be retained for as long as the legal obligation lasts and then deleted.
See our Privacy Notice for the full list of data categories we collect and the lawful bases on which we process them.
5. How Long Deletion Takes
We commit to completing account deletion within thirty (30) days of receiving a verified request. In practice most deletions complete within a few business days; the 30-day window is an outside limit that accounts for backups, verification of disputed requests, and propagation through our processors.
Backups: copies of your data may persist in encrypted backups for a short additional period until those backups are rotated out of storage. We do not restore deleted data from backups, and the backups themselves are not used for any operational purpose.
6. Need Help?
If you have questions about this process, or if you have submitted a deletion request and have not received confirmation, contact us at support@fittrainr.com. Privacy-specific questions can be sent to support@fittrainr.com.
